Refund Policy
1. Overview
At Hooks Fastpitch, we understand that circumstances change, and we want to be fair to our families. This policy explains when refunds are available for player registration fees and tournament fees. Please read this policy carefully before registering.
This policy applies to all registrations submitted through hooksfastpitch.com. By submitting payment, you acknowledge that you have read and agree to this Refund Policy.
All refund requests are subject to review and approval by Hooks Fastpitch administration. Refunds are issued to the original payment method used at the time of registration.
2. Full Refunds
A full refund of the registration fee is available under the following circumstances:
- (a) Early Cancellation: You submit a written cancellation request more than thirty (30) days before the published season start date for your player's division.
- (b) Division or Team Cancellation by Hooks Fastpitch: Hooks Fastpitch cancels a division or team for any reason, including insufficient roster enrollment, and your player has not been placed on an alternative team at your acceptance.
- (c) Duplicate Charge: A technical error results in a duplicate charge for the same registration. The duplicate charge will be refunded in full upon verification.
To request a full refund under circumstances (a) or (b), please contact us in writing before or as soon as possible after the triggering event. See Section 6 for how to submit a refund request.
3. Partial Refunds
A 50% refund of the registration fee is available under the following circumstances:
- (a) Mid-Window Cancellation: You submit a written cancellation request between fifteen (15) and thirty (30) days before the published season start date for your player's division. The 50% refund reflects costs already incurred for roster planning, facility scheduling, and equipment.
- (b) Pre-Season Injury: Your player sustains a documented injury that prevents participation, and you provide written medical documentation confirming the injury before your player's first official game or official team practice. Medical documentation must be submitted along with your refund request.
Partial refunds are issued only for the registration fee component. Third-party payment processing fees are non-refundable in all cases (see Section 7).
4. No Refunds
No refund will be issued under the following circumstances:
- (a) Late Cancellation: Your cancellation request is submitted fewer than fourteen (14) days before the published season start date.
- (b) Season Already Begun: Your player has participated in one or more official games or official team practices, regardless of the number of events attended.
- (c) Conduct Removal: Your player is removed from the program by Hooks Fastpitch due to a violation of the Code of Conduct as described in our Terms of Service.
- (d) Voluntary Withdrawal Mid-Season: Your player voluntarily withdraws from the program after the season has begun for reasons other than a documented pre-season injury (see Section 3(b)).
- (e) Family Conduct Removal: A parent, guardian, or family member is removed from participation in Hooks Fastpitch events due to conduct violations, resulting in the player's inability to participate.
We recognize that unexpected personal situations arise. If you are facing exceptional hardship not addressed by this policy, we encourage you to contact us directly to discuss your situation. Hooks Fastpitch reserves the right to make exceptions at its sole discretion.
5. Tournament Fees
Tournament entry fees are billed separately from seasonal registration fees and are subject to the following refund rules:
- Tournament fees are non-refundable once the registration deadline for that tournament has passed. This is because Hooks Fastpitch has committed those fees to the tournament organizer on your behalf.
- If a tournament is cancelled by the organizer, any fees collected by Hooks Fastpitch for that specific tournament will be refunded in full (minus any non-recoverable portion already remitted to the organizer).
- If a tournament is postponed by the organizer to a future date, fees will be applied to the rescheduled event. If you are unable to attend the rescheduled date, contact us — we will work with you on a case-by-case basis.
- Player injuries, scheduling conflicts, weather, and other participant-side circumstances do not qualify for tournament fee refunds once the registration deadline has passed.
6. How to Request a Refund
To request a refund, please take the following steps:
- Contact Hooks Fastpitch in writing as early as possible — ideally at least 30 days before the season start date.
- Include the following information in your request:
- Parent/guardian full name
- Player full name
- Player's division and team
- Season for which refund is requested
- Reason for the refund request
- Supporting documentation if applicable (e.g., medical documentation for injury refunds)
- Submit your request via our contact form at hooksfastpitch.com/contact-us.html or by mail to the address in Section 8.
Approved refunds will be processed within ten (10) business days of approval and returned to the original payment method. You will be notified by email when the refund has been processed.
7. Payment Processing Fees
Third-party payment processing fees — typically 2% to 3% of the transaction amount — are assessed at the time of payment by our payment processor. These fees are non-refundable in all circumstances, including full refunds. Any refund issued by Hooks Fastpitch will be for the net amount paid less the non-recoverable processing fee.
